POS System for Big Wings and Brew Restaurants
1. Organizational Overview
Big Wings and Brew is a sports-themed bar and restaurant founded in 1998. Our restaurant specializes in the biggest wings in the area. In addition, we supply a full dinner menu and bar. We provide a sports themed atmosphere where people may come to enjoy a dinner, drink a beverage, and have a good time while watching a game on one of our 6 big screen TV’s. Since founded in 1998, Big Wings and Brew has grown to three local area restaurants with a fourth soon to be under construction.
2. Required Deliverables
In an effort to make customer orders, supply orders, scheduling, and payroll easier, Big Wings and Brew seeks a qualified “point of sale” (POS) vendor to propose a system that would allow the following:
Servers and bartenders to write a menu/drink order and keep track of bar tabs remotely.
POS kitchen terminals so that cooks may receive orders and prepare as needed.
Installation of a central management computer to keep track of all business, ordering, scheduling, payroll, and monitoring of all daily POS activities. All equipment shall be installed by vendor. Vendor is to provide POS training upon completion of installation.

3. Restraints
A. The fourth restaurant is scheduled to be completed by the end of the year 2008. In which time all restaurant POS systems are required to be installed and running.
B. Currently Big Wings and Brew does not employ technical staff of any sort. All maintenance must be performed by the vendor on a contractual basis.

4. Proposal Submission Requirements
Bidders are required to submit one (1) original and six (6) copies of their proposal by April 15, 2008. Any proposal not received within the specified time will be considered rejected.
Proposal should not deviate from RFP. However, alternative systems may be quoted within the back of the proposal for review by management.
All proposals shall be submitted with a cover letter. Bidding vendors should also provide a brief history of their company outlining their experience with POS systems, as well as, provide a list of references of any past work using similar equipment.

5. Submission of Pricing
Vendor must submit a price sheet itemizing each part of their proposal. Each item should have its own line, a description, quantity, and price. Pricing submitted as one total without itemization will be rejected. Pricing should include all charges including product, delivery, setup, training, and service contract.

6. Evaluation and Selection Criteria
All proposals will be evaluated based on the following criteria: Ability to meet all RFP requirements, ability to meet timeframe set within the restraints of this proposal, quality of references, and pricing.

7. Payment
Big Wings and Brew agrees to pay the awarded vendor thirty days after receipt of invoice and satisfactory installation of proposed equipment.
There shall be no additions or changes to this proposal without prior negotiation and agreement in writing to the facilitating manager of Big Wings and Brew.
Big Wings and Brew reserves the right to select the most qualified bidder for the proposal based on pricing, recommendations, and submitted bid documents.
